The challenge
The Chatham County–Savannah Metropolitan Planning Commission (MPC) coordinates a master plan for the orderly growth of the district, so streamlined collaboration across its municipalities depends on a robust agenda and meeting-management solution. In 2008 the MPC adopted electronic agenda software that saved roughly $80,000 in paper, copier, and staff costs — about $40,000 a year. But in the following years, rising maintenance costs and a lack of updates left the software unable to keep pace with current operating systems, ultimately causing a crash that took over a week to resolve.
The process
In 2014 the MPC began searching for a new agenda system. It had to run on the commission’s current servers, carry the latest security patches, pass the Network Admin’s design and development review, and handle multiple boards — eight in total, each with 9–14 members.
The result
In 2016 the MPC upgraded to AgendaPlus by Agile Tech Consulting. Agile Tech customized AgendaPlus to the commission’s exact needs, supported the IT team through deployment, configured boards, meeting templates and approval paths, and trained users for a successful rollout. Since adoption the MPC has significantly reduced its number of servers — saving time, money and resources — and stays current with operating-system updates, which means 0% downtime.
